Job Summary

This position exists to provide high-level administrative support to multiple Division Director Offices. The position provides assistance in managing administrative functions by coordinating activities relative to managerial support. This position works with staff at all of levels of the Agency to provide service for both internal and external customers.

Qualifications

Minimum Qualifications

Candidates must clearly demonstrate the following qualifications:

Advanced skill in using business English grammar, spelling and punctuation to write and edit reports, letters, and other documents.

Skill in customer service to respond effectively to customers who have questions about agency operations and procedures (in person, on the phone)

Skill in customer service to provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.

Word processing experience sufficient to use software to create, format, edit, print, and save a variety of documents, including spreadsheets, tables, charts, and graphs.

Skill in keyboarding/typing, using Microsoft Word or equivalent software, sufficient to produce memos and correspondence in an efficient and timely manner.

The Minnesota Pollution Control Agency will not sponsor applicants for work visas including F-1 STEM OPT extensions.

Preferred Qualifications

Considerable experience in preparing correspondence and reports, and in the use of business English, spelling, and punctuation are essential since most of the material to be typed is of a complex and technical nature.

Good communication skills and the ability to establish and use good human relation skills to sustain effective working relationships with other employees and the public is essential. In addition, the person in this position must possess the following abilities:

Experience working with document management and retention data bases.

Knowledge of data practices requirements when working with data and the ability to keep confidential information private and handle it appropriately.

Ability to research information to move forward with assignments and the ability to understand and carry out written and oral instructions;,

Skilled in the use of the following software. (Microsoft Word, Excel, Outlook and PowerPoint, Visio as well as Adobe Acrobat and InDesign, OnBase, Tempo).

Strong organizational skills and the ability to work independently, prioritize, plan, coordinate, and maintain daily work products for self and technical staff

Physical Requirements

Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.

Additional Requirements

Position duties may require travel but driving is not a minimum qualification or essential function of this position. Employees who may drive for state business will need their driver's license checked prior to operating a state vehicle.
